Start Spreading the News: #AustinBakes for #WestTX is this Saturday!

AustinBakesPoster It’s been a big week at Austin Bakes headquarters. Our list of potential volunteers has grown to nearly 200 people, and several additional business supporters signed up today to help the people of West. We are still in need of bakers, signs and other supplies for the sales, and volunteers at selected sites. If you’d like to help, please sign up here and we’ll send you more info.

We are also in great need of shoppers at our bake sale. Could you help spread the word to your family, friends, church members, and co-workers? Here are a few ways volunteers are supporting the bake sale in this way:

  • Volunteers like Catherine and Rachel sent information about Austin Bakes to organizations with weekly email newsletters. Think neighborhood associations, community groups, and other organizations!
  • Dozens of food blogger volunteers have written blog posts about Austin Bakes for West. (See a full list of press mentions here.)
  • Site leader Heather printed some flyers and got permission to post them at businesses near the bake sale sites.
  • Site leader Lisa designed a poster for the bake sale.
  • Site leaders Sara  and Michelle have changed their Facebook profile pictures to the Austin Bakes for West logo. In the caption of the Facebook photo, they included information about their sale site + a link to Austinbakes.com.

All About the Money: How & Why We’re Helping West by Raising Funds for AmeriCares

We’ve talked a lot on the blog about our eight bake sale locations, how to help with the bake sale, and which local businesses are supporting us. Now it’s time to talk about one of the most important reasons we’re having the bake sale: to raise money for AmeriCares relief efforts in West, Texas. Our goal is to raise $15,000 for West at or before Saturday’s bake sales. That may seem like an audacious undertaking, but we are confident that Central Texans are up to the task!

Why AmeriCares?

AmeriCares has a proven track record of success supporting disaster relief. According to their 2012 fiscal report, each $10 in cash contributions to AmeriCares enables them to deliver  $200 in aid, including medicines, medical supplies, and support for partner agencies working in West. That means if we’re successful in reaching our $15,000 fundraising goal, Austin Bakes for West will be helping to send over $300,000 in emergency relief to our neighbors in West.

AmeriCares has been working on the ground in the United States since the 1980s, providing medical aid, relief supplies and health care in crisis situations and where there are long term needs for support. Their operational model is time-tested, and the organization has won national recognition for its efficient use of funds and successful humanitarian work.

AmeriCares has the infrastructure in place to accept a large gift from Austin Bakes for West and to use the funds efficiently where they’re needed most. The organization is a 501(c)3 non-profit, so gifts towards their efforts in West are tax-deductible. (More about that in a moment.) They have an extensive, transparent record of their financial information, including annual audits published online.

How to Give

Businesses and individuals supporting Austin Bakes for West can give to the AmeriCares via cash, check and our online giving page. Each Austin Bakes for West location has committed lead volunteers who will be responsible for managing individual gifts and ensuring that they are accounted for at the end of the bake sale. We have a game plan in place to track donations, report them transparently, and to make sure every penny ends up safely in AmeriCares’ hands.

Austin Bakes for West is a donation-based bake sale. That means instead of listing prices on each item, we’ll look to customers to decide the value of their purchase and support relief efforts in West accordingly. We’ll accept cash and checks (made out to AmeriCares, please) at the eight bake sale locations in Austin, Bee Cave, and Round Rock. Supporters who wish to make a gift by credit card may do so at the Austin Bakes for West FirstGiving page. We’ll be able to make change and break some large bills at the bake sale next Saturday, but we are asking customers who are able to please bring exact change or a check made out to the AmeriCares.

Here is detailed information about our handling procedures for gifts:

  • Cash: all cash collected before and during the bake sale will be combined into a money order, payable to AmeriCares, after the bake sale on Saturday,  May 4th. We will give the money order, along with all checks, to AmeriCares that day. Donors who give cash will not receive a receipt for their personal gift, but they will be able to see how much cash we raised collectively when we report the amount on here our blog and on our FirstGiving online giving page.
  • Checks: should be made to “AmeriCares” with West, TX written in the memo line. We will keep a log on our FirstGiving page of all checks that we receive. That way, donors can be sure that we have received their gift and see how their contribution has increased our total fundraising. We will give all checks to AmeriCares on Saturday, May 4th. AmeriCares will deposit the checks and mail each donor a gift receipt for tax purposes.
  • Online: gifts in any amount can be made securely online at our FirstGiving page using a credit or debit card. Donors will receive two emails confirming their gift to AmeriCares: one immediately after their information has been received, and a second email confirming that their card was successfully charged for the gift. Donors can see their contribution on the Austin Bakes for West FirstGiving page, and their support will count towards our overall goal to raise $15,000 for the West, Texas, relief efforts.

Some beautifully packaged, labeled goodies from our last bake sale, “Austin Bakes for Bastrop,” taken by Mary Helen Leonard.

“What should I bake for the sale?” a volunteer asked yesterday in her sign-up email.  I get this question from folks all the time. The first answer I give is “Whatever you can!” In a community effort as big as Austin Bakes, every little bit helps. The truth is that everything tends to sell at Austin Bakes, and we take leftover items to local Fire Stations after the bake sale ends. Familiar items like kolaches, cookies, decorated cookies, muffins, scones, brownies, pies, breads, cake pops, and decorated cakes and cupcakes hold up well in the heat and often sell most quickly. One of our veteran bakers Lazy Smurf said it best on Facebook this week, “If it’s cute, it will sell!”

Sign up for Austin Bakes

We do have some guidelines for baked goods at the sale to help keep Austin Bakes safe and to help us raise as much money as we can.

Savory and sweet baked goods, preserves, and homemade candies are welcome! There is no minimum requirement for participation, and we ask everyone to sign up so that we’re ready for next Saturday.

Items at the bake sale need to be wrapped or boxed for sale when you drop them off.  Individually wrapped treats, packaged dozens and half-dozens, as well as whole cakes/pies/tarts/loaves etc. are welcome. Locally owned baking supply store Make it Sweet (formerly called All in One Bake Shop) is our favorite place to find packaging. When you shop at Make it Sweet between now and the sale, mention “Austin Bakes” and they’ll donate 25% to the cause!

Baked Goods 3

Packaging materials for the bake sale are available at Make it Sweet. When you shop at Make it Sweet for supplies, mention “Austin Bakes” and they’ll donate 25% to Austin Bakes for West! Photo by Michelle F.

It will be hot outside that day, so please make items that will be safe and appetizing to eat after some time in the sun. That means no custard, cheesecakes, ice cream cakes, whipped cream, cream cheese frosting, whipped egg white frosting or dairy items that spoil quickly.

Please label your treats with the item name. Include your @Twitter handle and blog URL if you’re online. Gluten-free/dairy-free/vegan/nut-free items are welcome and should be clearly labeled as such.

Zucchinni Muffins

Packaged, labeled muffins at the sale. These sold quick! Photo by Mary Helen Leonard.

We sell everything by donation, so the more delicious/special the items, and the nicer the packaging/presentation, the more money we can get! Sign up to bake or volunteer, and let us know what you’re making to help people in West.

Thank you to volunteers Mary and Michelle for sharing pictures for this post on the Austin Bakes Flikr.
